Use the tools for authorised work
You may research properties, save relevant records, plan visits, record outcomes and use supported exports within your account's access and allowances. Use an individual login and only access the work your role permits.
Describe the information accurately
An EPC recommendation is a recorded suggestion, not proof that work is needed now or has been carried out. A property characteristic does not establish a resident's circumstances or consent.
Do not present a search result as an official survey, guaranteed grant entitlement, council approval or confirmation of technical suitability. Do not imply that RetroPilot, a council or a data provider endorses your offer.
Respect people and contact preferences
Your business decides whom to approach and is responsible for the rules that apply to its visits and communications. Be clear about who you are and why you are contacting someone. Respect a request not to be contacted and keep relevant no-contact records up to date.
Do not use the service for harassment, deception, discrimination or unlawful targeting. Property information is not permission to send marketing messages or repeatedly visit someone who has asked you to stop.
Keep notes and downloads appropriate
Record useful work information without unnecessary personal detail. Do not add passwords, payment-card information, special-category information about householders or other sensitive content that is not needed for the property workflow.
Protect exports and share them only with people authorised for the work. Correct errors when you become aware of them. Remove information you no longer need, subject to any legitimate record-keeping requirement.
Protect the platform and source data
Do not bypass credit, permission or account controls; attempt to access another customer's workspace; share access credentials; or interfere with other users.
Use the provided search and export tools. Do not scrape the service, overload its endpoints, probe it without permission, or redistribute source data in a way your rights do not allow. Report a suspected security issue privately through our contact form.
Reporting misuse and access restrictions
Tell us about suspected misuse with the relevant account, date or record, without sending unnecessary personal information. We may investigate, remove inappropriate content or restrict access where needed to protect users, the service or comply with law.
